All of our clinics use WebPT's EMR, billing, and patient outreach solutions. WebPT works for us for our entire patient process, from intake to discharge. WebPT allows us to receive intake forms electronically, which are added directly to a patient's chart, schedule and send reminders out via email/SMS text, document patient treatment and upload other documents, bill claims and patient statements, receive payments and reach out for automatic follow-ups or satisfaction surveys.

WebPT is a well-priced comprehensive solution for physical therapy clinics of small-to-midsize. It could use more support for occupational/speech therapy combined clinics and may not be ideal for large businesses that can afford more directly catered solutions. However, it is a stable and multipurpose platform with a great deal of options for PT/OT/ST clinics nonetheless. It allows you and your staff to completely manage the entire patient process digitally and with a great deal of connectivity between different phases of the patient process. This avoids the inefficiencies of relying on paper documentation and communication issues and saves time with the automation available for scheduling and patient outreach.

We use WebPT in a clinic setting and we love this program it is so user friendly and easy to navigate. However 1 thing I would like to change is being able to see the cancellation reason.

We use WebPT for our EMR and are pleased with the notifications, reports and the totally user-friendly approach the system has. It doesn't take long to create a chart and communicates with the other software that we use for our billing. I like the fact that it has several options for the calendar/scheduler legend, making it easier to spot new patient appointment and any other appointments that need special color coding. I like the ease of uploading documents as well. All-in-all, I would recommend this system to anyone looking to streamline the ease of patient records.

I have been using WebPT for over 4 years now and would recommend to anyone looking for a great EMR. It didn't take long to learn the system and was super user-friendly. To be able to go to one place for locating the notes on the patients, chart records, attachments etc., is a bonus. It makes things run more efficiently. Also, the ability to communicate with third party platforms for the initial paperwork, home exercise program and FOTO is great too.

As a former patient representative in the physical therapy department, I enjoyed the ease of use when entering patients and creating patient encounters. Working with the therapists, I was able to navigate areas of the system that impacted the bottom line. I also liked the ability to fax from within the system itself.

We've used WebPT as our EMR with good success. It's a great company with great product and very pro PT. Improvements to EBV would be helpful for us, we tried it for a few months however the benefits sheet was very lengthy, not only related to PT, and not correct for some patients.

WebPT is used daily by clinical staff for documentation and reporting. We use the scheduling platform at the front desk to organize therapists' schedules, and we are integrated with their RCM software for our billing to insurance companies. WebPT allows the clinic director to focus their energy on growing the business and not dealing with the day to day of billing. In addition, it allows our front office staff to effectively and efficiently schedule patients without confusion or time-consuming processes.

WebPT is used to create health record, develop and assign HEP, and translates services rendered into billable charges and helps with sending charges out to the appropriate clearinghouses and insurances.

  • The system has a whole has frequent down times for updates and fixes that are not always conducive to being able to keep up with charting as you work through your day.
  • Getting customer service to help often times results in being transferred from one department to another as with different modules there it can be difficult to get a hold of a person to actually help with your issue with the particular module you are using (i.e. therabill, versus HEP, versus EMR.)
  • Getting any help with HEP component is almost impossible. You can not call in to talk with someone in that department for help. Most recently it took a rep 4 days to respond to an email regarding an issue I had been having with a major error in their HEP module. And even after establishing contact with someone in that department they seemed more eager to find a way to close the case unresolved than to help fix the issue I was having. When I asked for a call back they declined to do so and wanted to continue to have communication via email which at this point had slowed to a snails pace as far as response time. It's been almost 3 weeks and I still am having same issue and may change my entire EMR even though I have been using this system for years since I can not seem to find a resolution to the error, but even more frustrating I can not get anyone from that department on the phone.
Good for straight EMR and Billing. But if having a ther ex module that is integral part of overall charting process is important this software is falling short by large margin.

Our company uses WebPT as our EMR, scheduling, and documentation platform. WebPT is very user friendly and is very easy to train new staff members with. Most PT's right out of school have already used WebPT in some form, as well as the front office staff members.

In my role within my organization, I use WebPT mostly for viewing the patient's medical records or eDocs. I also use the calendar within the software and sometimes use the electronic benefit verification and analytic tools. I like the integration between WebPT and Therabill. I also find it very user-friendly especially with the option to batch print multiple records at the same time. It's also nice to be able to send faxes through WebPT. The missing notes report is also a nice function & helps us catch any charges that were not entered for appointments that did occur.

WebPT is well suited for providers with smaller practices, and for patients who have simple cases. The note templates are very easy to follow, but the eDocs can be slightly unorganized if a patient has multiple documents that need to be scanned into their account. The batch print function is great for sending large files to a worker's compensation payer, but it can be glitchy at times. The practices I work with who use WebPT have little to no issues with the software, and working in the billing department, I typically don't encounter many issues either and find that I can complete my job duties easily.

When I decided to open my own physical therapy business, I evaluated several EHR, scheduling, and billing options. I ultimately chose to go with WebPT and Therabill as I felt they were the best fit for our needs. As a physical therapist myself, I felt confident in choosing a product that was initially developed by a physical therapist. I knew the software would tailor to our specific needs. Their platform is user-friendly and addresses the majority of our needs to run a business efficiently. The "add on" decision to purchase Therabill has helped tremendously with the billing and collections process as the information easily transfers over between systems.
  • The scheduler is easy to use and allows for a clear view of each clinical day, week, and month.
  • The authorization/visit limit functions really help in managing each case and assist in minimizing insurance denials.
  • The documentation is comprehensive and specific to physical therapy documentation. The ICD-10 lookup function is very helpful.
  • Transfer of claim information to Therabill really helps with timely claim submission.
  • Currently, patient appointment reminders are free via email but text message reminders are limited to a certain allotment per month. Given our current volume and the typical visits per patient case, the cost of text reminders for ALL patients is excessive.
  • Turnaround time on "help desk tickets" is slower than we would like.
  • The patient electronic intake form does not transfer much information into the EMR. Our PTs end up having to manually document most of this information, which takes additional time.
I would say that most PT companies should consider using WebPT as their EMR/scheduler and Therabill as their billing system, as their overall function is very good. The downside to WebPT is the cost compared to other EMRs out there, and it may be too much for smaller practices.

We are a small, outpatient physical therapy clinic that see patients in an office setting. We utilize WebPT as our Electronic Medical Records vendor. We started with WebPT pretty early on- they were a fairly new company when be came onboard with them. At that time, WebPT did not have an all inclusive EMR and billing software. We utilize Kareo for our billing platform. WebPT integrates with Kareo pretty seamlessly. We have had very few issues in the 10+ years we have been with WebPT. It helps us maintain compliance with insurance, especially government entities, like Medicare. WebPT helps to keep us on track with productivity for staff accountability, provides reports for billing, and keeps us compliant with our State Practice Act- it keeps patients scheduled easily with appointment reminders so
  • Calendar Year Medicare Thresholds amounts for Physical Therapy are totaled after the completion of each note- according to the Medicare allowed amounts- this in turn keeps us on track with maintaining Medical Necessity according to Medicare Guidelines.
  • Customer Support is TOP NOTCH! Questions are answered in a timely manner and most often issues are handled within a work day.
  • Patient scheduling is very user friendly- you have the option of using default settings or creating custom settings as required for your clinic/practice.
  • Missing notes are easily and quickly found by running a simple report. When you are a busy facility and see so many patients, it's easy to miss a note, which in turns is missing reimbursement! I love the fact that this can be easily found and rectified!
  • Navigating with fewer clicks- more shortcuts for efficiency would be a welcomed addition.
  • Therapist sometimes complain that notes could be easier to complete by having more drop down boxes so there isn't so much manual entry.
  • Having the ability to receive faxes within the EMR and have the ability to upload to the patients medical records or chart. As of now, WebPT can only fax out.
  • Credit card payments through WebPT utilizes a card reader that IS NOT chip capable. This needs to be updated for extra security.
  • Analytic Reports are not the easiest to utilize. Using the filters for date ranges, columns, etc. is cumbersome, at best.
The Schedule is easy to use and read- appointment reminders help to keep patient cancellations and no shows to a minimum. Maintaining compliance with our insurance companies we are contracted with is very important to me- especially with so many Medicare guidelines. WebPT does an excellent job of keeping us on track. Examples being- yearly Medicare threshold amounts, Medicare certifications, outcome measure tools that almost all insurance companies are requiring, and patient authorization tracking, WebPT is spot on!

WebPT is used in our clinic as a means of handling client/patient scheduling and documentation for each training/therapy session that is completed in our facility. We are able to set recurring schedules and set reminders for patients. It also gives us a platform for all in-house documentation making it easy for in house billing department to send out for insurance purposes.

  • Documentation does not autosave so some documentation may need to be restarted
  • Changing recurring schedules can some times change all events, even past events, making it hard to understand when someone was previously scheduled
  • At one point adding new users was difficult
For your basic documentation needs WebPT really excels at using a simple interface without needing a big learning curve. Our staff usually picks up right away how to use the documentation interface with no trouble.

We use WebPT as our EMR for out patient therapy services. It has been easy to use once set up. It also integrates well with the billing software. Setup was a bit of a challenge, as I was pretty much left on my own with some videos to guide me through the setup. The customer service is very good, simple, direct and to the point, without the ridiculous repeating and apologizing the is the norm for customer service these days.

We use it for documentation and billing services as the main purpose. We also use it for scheduling of patients. On the administrative end we use the reporting system and analyzing daily visits, monthly visits, etc. It does a good job of the daily overview of numbers and some retention statistics as well. Not that they are necessarily problems but in order to process our claims and receive payment we need a software where we can document and send to insurances. The scope is allied healthcare

I am a 15 year user of WebPT including their patient intake, scheduling, EMR, HEP, clinical outcomes, and patient engagement modules. Until recently I was a proud and loyal WebPT consumer. However, my team experienced an extremely high volume of recurrent technical issues during all of 2022 and continued into 2023. We promptly brought these to the attention of WebPT's support team and were frankly not impressed with their communication, technical solutions, or promptness in resolving the issues. When we experienced a clear pattern of the same support issues occurring across multiple different patient accounts we emailed, called, and took Zoom meetings with out "Success Manager". When WebPT still did not address our concerns I took a live in person meeting with a WebPT "Member Success Manager" at the American Physical Therapy Association Combined Sections Meeting to in San Diego to again voice my strong concerns about the poor functionality of the software, related poor support, and negative impact on my clinic finances and morale. Per their request I emailed to re-iterate the same information to the "Success Leader". The subsequent Zoom meeting with the WebPT management was simply the most disappointing experience I have experienced with any vendor in 23 years of clinical practice, 20 years of clinic leadership, and 13 years of private practice. I next attempted to contact Ashley Glover, CEO of WebPT who I met at the Combined Sections Meeting. When I did not receive any communication I felt it was reasonable to reach out to my personal and professional friend Heidi Janega the founder of WebPT and was told Mrs. Golver would be in touch. I have yet to hear from her. During the meetings I described I was told my complaints were not valid and that the support issues were fixed. If the same issue occurs across numerous patient accounts is absolutely not fixed. Rather it is a recurring pattern that negatively impacts patient care, business efficiency, and the work/life balance of our team. It was also clear they had not reviewed the information they mandated I provide prior to the meeting or their own notes on the numerous support issues. I was also told WebPT is not the same company as before and that we may not be a good fit for them. Well, we may finally have a point we agree on. WebPT may now feel they are too big to fail but I can tell you they may be big enough to fail your clinic.

We use WebPT for all of our clinical documentation, billing, and scheduling.
  • Documentation templates are thorough and customizable.
  • Scheduling is intuitive and has integrated client reminder functions.
  • Clinical documentation is tied closely to billing, which helps manage compliance issues.
  • The home exercise program lacks the ability to prescribe or easily store custom exercises. Many of the exercises my staff uses are not included in the library. The process of adding exercises to the library is prohibitively cumbersome.
  • The ability of Therabill staff to address billing problems that involve the clearinghouse is extremely limited. There is no ability for the user to communicate directly with the clearing house to resolve issues. We have had several critical goes unresolved.
  • WebPT's "downtime" seems to be increasing. We have had 4-5 instances of login issues over the past six months.
  • The availability of tech support is inconsistent. Sometimes we are able to reach a representative within minutes, other times it can be 30-40 minutes. This does not meet expectations, given the price point of the software.
  • The user interface with Therabill is cumbersome. Rather than having access to multiple functions from a single client account, the interface requires frequent navigation back to a home screen. For example, entering an insurance payment is done through one function on a home screen. If this payment results in a client balance, managing that bill requires navigating back to the home screen and then accessing a "bill client" button.
WebPT is well suited for day-to-day physical therapy documentation, scheduling, and insurance billing. The learning curve for operating the billing software is fairly steep, requiring a fair amount of training, even for experienced staff.

This program is used for scheduling, EMR for documentation, insurance verification, reminders of appointments, and analysis of therapist time with regard to patients and billing.
  • Reminder emails/texts were sent without issues.
  • Intake paperwork to get ready for new patients is amazing.
  • Scheule is easy to use.
  • Almost one time a month, there is something that is not working on a given day.
  • Analytics are so slow and lagging behind on a regular basis, and so often, the information I want is not up to date.
Overall the program is very user-friendly and intuitive to use. Things flow nicely from one thing to the next and one entry point to the next, so it does not feel like you have to duplicate the information.

WebPT is the EHR & Billing platform multiple of our clients use. We provide practice management, auditing and billing services for these practices using this platform.

  • Available reporting options are limited in WebPT, and they cannot be merged reporting with the billing reporting to generate more comprehensive reports for auditing purposes. It would be nice to have the capacity to customize templates between the two platforms to allow for better data management and analytics.
Thus far WebPT has been well suited for all of my PT, OT, ST clients with no complications. Recently one of my clients added on an ABA provider to her practice. These are often joint therapeutic modalities provided to a patient at separate practices, but more and more they are collaborating under one practice, so offering greater capacity to include this modality as functional user in WebPT would be great.

Currently, I support the Office Manager and Office Assistant remotely. Our main problem is keeping track of patients and making sure they are scheduled. We use the lost patient reporting, which is helpful.
  • Interfaces with the billing software
  • Keeps track of Medicare reporting

  • Would like the ability to make notes within the patient visit for reminders
  • Inability to archive previous patient accounts
  • When adding or changing insurance it is complicated to get the information to Therabill in order to bill correctly
The support system is easy to use for questions. It would be nice to have additional training on features that WebPT offers within the software.

I use WebPT for all my medical documentation and patient scheduling! This documentation is very important as it is used to relay information to other health care providers as well as getting sent to insurance companies for reimbursement!
  • Very user-friendly! Colleagues of mine using other EMR companies comment on how much easier WebPT is to use.
  • Provides up-to-date classes and informative articles to stay in touch with the newest technology and issues related to PT.
  • Provides the proper information and data to facilitate insurance reimbursement.
  • Too many ICD-10 coding options-more than are needed.

I have been very pleased with WebPT, that's why after 6 years I'm still using them! I have recommended WebPT to numerous colleagues and not one of them has been dissatisfied! The system is easy to use, very thorough, and allows healthcare providers to obtain and provide all the necessary data that insurance companies are looking for in order to get reimbursed... which is critical!
